Contracts: A Refresher Course

It’s not just a piece of paper, nor just a requirement. It’s a commitment which, in all forms, should be taken seriously.
Being part of the Business Development Group, I knew that drafting a contract is not that easy. Several versions are being reviewed to check which one works best for our International Property Ambassadors. This is the sole reason why compliance means a lot for the team.
This quick refresher course will go from the basics to the new policies, as well as the future plan for easier and more convenient signing.
Requirements
Before a Property Ambassador gets invited to training, he/she must have submitted the following:

❏ Signed contract
There are different positions offered for interested Property Ambassadors, each having a different kind of contract. This is why it is imperative to ask our team the number of pages needed for submission.
❏ Photocopy of Passport or 2 government-issued IDs
IDs allow the team to validate the information provided by the Property Ambassador. They are most helpful for us to avoid misspelled names and email addresses in our record.
❏ One (1) Corporate 1x1 Photo
Property Ambassadors who will request an exclusive Megaworld International ID, a corporate 1x1 photo is required. Upon validation of the contract, the IDs are released after 10 working days. On a different note, this 1x1 photo requirement is also needed if they will avail of our free assistance in opening a bank account for commission purposes.
New Policy
The commitment level of one is evident in the way he/she handles our accreditation process. The new policy of the team only gives importance to the requirements which can be disregarded by a few. The new policy states that failure to submit complete accreditation papers after seven (7) working days will lead to disposal of documents.
The Contract
Agent Information Sheet
On top of every contract is the Agent Information Sheet. This is where the personal information, mailing address, contact information, bank account details, and accreditation details are indicated for easy filing.

Referral Form
To strengthen recruitment, Property Ambassadors in the entry-level position are given referral incentives. This is where the referral form comes in. There is no limit on the number of referrals, as long as they indicate the name of the person who referred them in this form.

Common Mistakes
Although the submitted documents are complete, mistakes are still inevitable. Here are the common ones we encounter:

Using old Sales Agency Agreement forms
The latest series is August 2019, which is printed on the lower left part of the contract.
Incomplete Marketing Director (MD) contract
Marketing Director contracts are precise, and all 26 pages should be read and signed.
Leaving date of accreditation blank
The date of accreditation indicates the validity of the contract.
Informing agents of their position and region
Megaworld International is comprised of different sales teams. It is important to know in which team one person belongs to.
Sending in JPG/PNG instead of PDF (for soft copy submissions)
PDF is the most proper format in sending soft copies of the contract. JPG and PNG formats are for photos and thus, should be used as such. Individual photos of the contracts, especially long ones, may only create confusion.
Referral forms are for Marketing Associates (MAs) and Senior Marketing Associates (Sr. MAs) only
The referral incentives are offered for the two positions only. Other positions have their own benefits and incentives.
One agent, three contracts
Only one position per person is allowed.
Live Forms
The Business Development Group continuously improves the accreditation process and thus, paved the way for paperless contracts or what we like to call “Live Forms”.

The person to sign the contract will have to scan a QR code based on the position assigned to him/her. The QR code will direct him/her to a digital form in which he/she is required to fill out all the necessary information. Upon submitting the form, the details will automatically be generated into a contract document and sent to his/her registered email address. To make this process as successful as possible, the Property Ambassador will just have to follow simple instructions. Here are some reminders before signing the Live Form:
* Compatible on all devices, as long as you have internet connection and has QR code scanner installed.
* Forms are encrypted with passwords which are changed without prior notice. Sharing of forms is discouraged.
* Read and follow the instructions given. Be careful of spelling and punctuation.
* Changes can be made prior to clicking the SUBMIT button. Once submitted, everything will be treated as final and shall be reflected in the contract.
* An email will be sent after submission. It is important to check all the information before sending us a CONFIRMATION.
* You must have a photo of your government-issued ID and/or passport. You may take a photo using your camera before you sign the form.
* Before signing the Live Form, you must have a copy of your 1x1 or 2x2 ID photo in your gadget. (Must be on white or plane background and wear proper business attire on the photo)
* The Live Form will ask for your signature. If you don’t have an e-signature in your phone, you may create and download one through the e-signature maker platform provided in the link.
